What we collect when you send an enquiry, why, who handles it, and your rights under UK data protection law.
This is a demonstration site
Calloway & Sons is not a real company. The details in square brackets below are placeholders that a real business would complete.
Who we are
[Business name], [Business address]. Email: [Contact email]. Phone: [Add phone number].
We are responsible for the personal details you send us through this website.
What we collect
When you use the enquiry form, we collect:
- your name and email address
- your phone number and postcode, if you give them
- what you need (a quote, a callout, or both), the service and how urgent it is
- your message
- a photo, if you choose to attach one
- that you ticked the box confirming you understand how your details are used
We do not ask for payment details.
Why we use it, and our lawful basis
- To reply to your enquiry and arrange work. This is a step you ask us to take before a possible contract.
- To deal with urgent and gas-safety enquiries first. This is in our legitimate interests, and in yours, because it keeps people safe.
Automatic sorting
An AI tool reads your enquiry to sort it by type and urgency. A keyword check also flags possible gas emergencies. A person reviews every enquiry. No decision with legal or similarly significant effects on you is made automatically.
If you smell gas, do not wait for a reply: call 0800 111 999.
Who handles it for us
- Cloudflare: hosts the website, receives the form, stores photos if photo uploads are switched on, and runs the Turnstile spam check.
- Zapier: passes your enquiry on, including its AI feature that sorts enquiries.
- Google: Google Sheets and Gmail, to store your enquiry and email it to us and to you.
Some of these companies may process data outside the UK. Where they do, it is protected by legal safeguards such as UK-approved contract terms.
We never sell your data.
The coverage map
When the map loads on the home page or the Areas page, your browser contacts unpkg.com (for the map code) and OpenStreetMap (for the map images). Both will see your IP address, as with any website you visit.
Cookies
This site sets no advertising or tracking cookies. The Cloudflare Turnstile security check on the enquiry form may store what it needs to work as a security check.
How long we keep it
- Enquiries: [retention period, e.g. 12 months], unless your enquiry becomes a job.
- Photos: removed from our file storage within 7 days. Copies attached to our emails are kept with your enquiry for [retention period].
Your rights
You can ask us to:
- give you a copy of your details (access)
- correct them
- delete them
- stop or limit how we use them (objection and restriction)
- send them to you or another organisation in a usable format (data portability)
Email [Contact email]. If you are unhappy with how we handle your details, you can complain to us, and to the Information Commissioner’s Office at ico.org.uk.
